Publishing a Template

Publishing a Template

Publishing a template makes it available to Senders so they can create contracts from it. Before publishing, E-SignSeal runs a Readiness Checklist to catch common authoring mistakes. Once published, the template is locked — you cannot edit it directly, but you can create a draft copy to revise.

Who can publish templates

Users with the Template Manager role or Workspace Admin can publish templates.

How to publish

  1. Open the template you want to publish. If the template is in Draft status, select Edit on the Templates list to open the editor.

  2. In the editor, select Publish in the top-right toolbar.

  3. The Readiness Checklist modal opens and validates your template automatically.

The Readiness Checklist

The checklist confirms the template meets the minimum requirements for sending:

Check

What it verifies

Template has a name

The template name field is not empty

Content is present

The document body has at least one paragraph of text

No broken field references

All {{Field}} chips in the template match a known standard or custom Jira field

No untitled signature block

If you included signature headings, they are not blank

Each check displays as a green tick (passing) or a red warning (failing). If any check fails, the Publish template button remains disabled. Fix the flagged issues in the editor and re-open the publish flow.

After publishing

Once you select Publish template:

  • The template status changes to Published on the Templates list.

  • Senders can immediately select the template when creating a new contract.

  • The editor becomes read-only. The edit toolbar is hidden and field chips cannot be moved.

Making changes to a published template

You cannot edit a published template directly. To revise one:

  1. On the Templates list, find the published template.

  2. Select the ... (more actions) menu on the template card.

  3. Select Create draft copy.

E-SignSeal creates a new template with the same content and a Draft status, with — Copy appended to the name. You can rename it, edit the content, and publish the copy when ready.

The original published template remains active until you explicitly archive it. If you want to retire the old version, archive it after the new copy is published so Senders stop seeing it in the picker.

Archiving a template

Archiving hides a template from the Senders' picker without deleting any historical data. Contracts already sent from an archived template are unaffected.

  1. On the Templates list, select the ... menu on the template card.

  2. Select Archive.

  3. Confirm in the modal.

Archived templates are still visible in the Templates list when you filter by All status, so you can unarchive or audit them at any time.
