Sending a Contract

Sending a Contract

Sending a contract creates an envelope — a bound signing package that ties a contract document, a set of signers, and a linked Jira issue together. This page walks through the three-step New Contract wizard in detail.

Who can send contracts

Users with the Sender role, Template Manager role, or Workspace Admin can send contracts.

Start the wizard

  1. In E-SignSeal, select Contracts in the sidebar.

  2. Select New contract in the top-right corner.

The wizard opens to Step 1.

Choose a template

The template picker lists all Published templates available in your workspace. You can search by name or filter by type (NDA, Services, HR, Compliance).

Select the template that matches the agreement you want to send. A preview panel on the right shows the first few lines of the template body so you can confirm you have chosen the right one.

In the Link to Jira issue field, type the issue key (for example, PROJ-42) or search by summary text. Select the issue from the dropdown.

Linking an issue:

  • Populates all {{Field}} merge fields in the contract document with live values from that issue

  • Sets the destination for the auto-attached signed PDF when the contract completes

Every contract must be linked to exactly one Jira issue. You cannot send an unlinked contract.

Select Next to proceed to Step 2.

Step 2 — Add signers and configure settings

Add signers

In the Add signers panel, search the Jira user directory by name or email. Select a user to add them to the signer list. Repeat for each signer.

Key signer rules:

  • All signers must be Jira users on your site. External email addresses are not supported in this version.

  • You can add as many signers as needed. All signers are notified simultaneously (parallel signing).

  • A signer can be added only once per contract.

  • You (the Sender) can add yourself as a signer if you also need to sign.

To remove a signer before sending, select the × icon next to their name in the signer list.

Contract title

The Contract title field pre-fills with the template name. You can change it to something more specific. The title appears in:

  • The signing invitation email and Jira notification

  • The Contracts list

  • The auto-attached PDF filename

Expiry days

Set how many days signers have to complete signing before the envelope expires. The default is 30 days. When the envelope expires:

  • All pending signing links are deactivated

  • The contract status changes to Expired

  • No PDF is generated

  • A daily background check runs at midnight UTC to catch any envelopes that expired overnight

Valid values: 1–365 days.

Reminders

Toggle Enable reminders to have E-SignSeal send automatic reminder notifications to signers who have not yet signed. Reminders are sent once every 24 hours. You can also send a manual reminder at any time from the contract detail page (one per signer per 24-hour window).

Select Next to proceed to Step 3.

Step 3 — Review and send

The review screen summarizes the full envelope:

  • Template name

  • Linked Jira issue (key + summary)

  • Contract title

  • Signer list with Jira display names

  • Expiry date (calculated from today + expiry days)

  • Reminder setting

Review all details carefully. You cannot change the template, linked issue, or signer list after sending.

Select Send contract. A confirmation modal asks you to confirm. Select Send to finalize.

After sending

E-SignSeal immediately:

  1. Notifies each signer via Jira notification and email

  2. Sets the contract status to In progress on the Contracts list

  3. Starts the expiry countdown

You can monitor signing progress, send manual reminders, and view the audit trail from the Contract Detail page.
